Position Summary
This position provides administrative support for the VP Finance, GEMS and his direct reports as well as broader support to the entire Houston GEMS Finance organization.
Key Accountabilities
• Provides administrative support services to VP Finance including managing files, making domestic and international travel arrangements, coordinating visa paperwork to support the executive’s travel, preparing expense reports, maintaining Outlook/electronic diary, scheduling meetings and video conferences, compiling agendas, etc.
• Provide support to VP by compiling reports and/or presentations
• Maintain vacation and personal time tracking for GEMS Finance organization
• Manage document flow (both internal/external)
• Manages SAP purchase orders and departmental invoices for correct payment allocation
• Maintains the utmost of confidentiality as the position is exposed to sensitive information
• Liaise with other administrative assistants as required.
• Other tasks and projects as assigned by VP

Unique Knowledge, Skills, Experience and Attribute
Experience Needed: 
• Prior experience in supporting individuals at a VP level required

Specialist Knowledge/Languages:
 
• High school diploma or equivalent required
• Ability to represent the VP and communicate with internal and external customers to the highest professional standards
• Excellent organizational skills
• Ability to learn quickly, to adapt and develop in a rapidly changing situation
• Excellent word processing and slide presentation skills
• Experience with telephone systems and voicemail
• Strong working knowledge of Windows 7 and Office 2010, (word processing, spreadsheets, presentation software, access database)
• Working knowledge of basic financial and administrative procedures
• Blackberry experience is a plus
• Attention to detail
• Dependable
• Prior SAP experience preferred
