Purpose of the Position
The incumbent will assist in the production of flagship publications in English, French and Spanish. S/he will organize and maintain final publication digital assets for internal/external production. Also, s/he will provide technical and administrative assistance to Production Specialist and translators.

Key Expected Results
- Assist Production Specialist in all aspects of production. Liaise with supply division, designers, translators, printers and distribution team. Traffic production materials through design, layout, translation, printing and delivery.
- Assist on developing design and printing specifications and invitations to bid. Draft contracts for external designers and printers. Liaise with Supply Division and departmental budget focal points to secure budget codes, purchase requisitions and purchase orders.
- Provide design support. Update PDFs and InDesign files to incorporate late corrections. Create new designs/layouts or revise/correct existing designs/layouts as needed.
- Liaise with designers/printers to obtain final print files, thoroughly check integrity of the layout and ensure that all elements (fonts, photos, last corrs) are in place, follow up if any elements missing and maintain a library of the final digital assets. Upload the lo res, hi res and native files on UNICEF's WeShare FTP Site to facilitate field or NatCom translation and/or printing Compile cost information and printing specifications on our tracking sheet. Optimize final publication PDFs for web purposes.
- Manage flagship digital print needs. Liaise with designer, check integrity of layout and have designer/source revise as necessary and liaise with in-house reproduction unit or external digital vendor.
- Issue International Standard Book Numbers (ISBNs) to publications requested from NYHQ and Field Offices. Register and maintain the database and records of each publication with BowkerLink. Liaise with UN Sales to alert them on upcoming titles, obtain sales numbers, provide PDF to facilitate ePub production, obtain the various ebook links and share them with the web focal point.
- Other assignments as required.
Qualifications of Successful Candidate
- Completion of Secondary Education (ie. High School Diploma) is a minimum requirement.
- Minimum of five years of relevant administrative work experience required. Previous experience in print/design production is highly desirable.
- Fluency in English, both written and spoken, required. Working knowledge of other UN language is an asset.
- Must pass the UN ASAT (Administrative Support Assessment Test) in English (please mention in your cover letter whether you passed this exam).
