MSF Operational Centre Amsterdam (OCA) currently operates medical humanitarian interventions in 25 countries. On a yearly basis MSF-Holland deploys over 1100 international staff and employs approximately 7500 national staff. In this position you will work closely together with various members of the Operations department and the Directors Office. Specifically you are expected to work with the other assistants in a spirit of collaboration and sharing tasks and responsibilities as a team.
Key responsibilities and tasks related to support of the Ops Dept include:
We are looking for an Assistant who is flexible, pro-active, able to prioritize and handle multiple demands simultaneously. Excellent communications-, and in particular proven writing skills are essential. Previous experience in a similar position and proven experience with minute-taking is required. Fluency (native speaker level) in spoken and written English is essential and a good knowledge of Dutch is an asset. An appreciation of organisational and decision-making processes is essential. You know how to deal with information of a confidential nature. You are highly proficient in common Microsoft Office programs and, preferably, familiar with using Oracle and MS SharePoint. A clear understanding of and interest in the field of humanitarian aid is required. You are prepared to work long hours on occasion according to the demands of an emergency humanitarian organisation.

ASSISTANT TO OPERATIONS DEPARTMENT & TO THE DIRECTORS OFFICE (100%)
The assistant will work for both the Operations Department and the Directors Office with 60% of the role allocated to administrative support to the Operations (Ops) Department, and 40% for general and administrative support to the Directors Office.The assistant will be directly line managed by the Director of Operations (DirOps).
In this position you will work closely together with various members of the Operations department and the Directors Office. Specifically you are expected to work with the other assistants in a spirit of collaboration and sharing tasks and responsibilities as a team.
Key responsibilities and tasks related to support of the Ops Dept include:
- Preparation (agenda, distribution of documents, invitation of guest, etc), minute-taking of meetings, and administration of related processes (monitoring action list, absence list, etc).
- Drafting and distribution of Operational bulletins for internal communication.
- Other tasks as delegated by the DirOps such as data/information management of the Ops Department, support to the Crisis Management Team in the event of a critical incident, etc.
- Keeping holiday and absence overviews for the department.
- Substantively contributing to the Executive Secretariat’s organizational memory in terms of ensuring a coherent electronic (in SharePoint) and hardcopy filing system of (confidential) documentation and ensuring appropriate discretion.
- Ensuring that invoices are correctly processed in the internal electronic invoice approval system.
- Drafting, in cooperation with the other assistants, the budget for the Directors Office;
- Ensuring legalization of documents such as Power of Attorneys for our field missions;
- Making travel arrangements for the MSFH MT members.
