Background / General description:
IFC’s work force has grown by over 50 percent in the last 5 years. Today, 54 percent of our staff is in the field, up from 43 percent in FY 04. Following this strategy has enabled IFC to grow its business significantly. However, the rapid growth in the field has resulted in some challenges, including a clear need to further enhance the mobility policy, tools and support provided to staff relocating to different duty stations.

IFC is piloting a scheme to have Mobility Assistants in the various country offices, as part of an effort to strengthen the mobility support it provides to staff relocating to a different duty station.

Duties and Accountabilities:
The Mobility Assistant will assist newly recruited/current staff and their families to relocate into a new duty station, through the duration of the assignment and as they leave that duty station. The role will be for a limited duration of 1 year. The Mobility Assistants will report to Mobility and Recruitment Officer who oversees Mobility in the EMENA region from Istanbul.

• Be IFC's primary contact for relocating staff and their respective families in all aspects of their relocation.

• Manage the local vendor that provide relocation services, which include ensuring that staff and their families are in contact with a housing/school agent (as needed) and all contractual arrangements are in place.

• Survey the staff s experience post-settling-in.

• Connect staff with the right local resources in support of the move.

• Work closely with the regional HR team and DC mobility team to ensure a smooth relocation process for the staff member.

• Maintain regular contact with the other Mobility Assistants to share best practices, seek ways to improve the process and make recommendations to the right stakeholders (HR team, local admin team, DC mobility support team, Mobility and Recruitment Officer).

• Develop the necessary tools and procedures related to relocations, settling-in, living and moving out of the duty station

• Develop a strong understanding of the local real estate market and neighborhoods to better advise staff with housing.

• Establish and maintain relationships with pre-schools, childcare facilities and schools to advise staff on educational options available to employees and family members at post, and provide regular reports on staff satisfaction with schools.

• Provide information on international standard health care facilities, hospitals, pharmacies, as well as preventative care (primary care physicians, pediatricians, OBGYN, dentists, eye doctors, etc).

• Act as spouse/partner liaison for employment opportunities, spouse visas, language lessons and volunteerism.

• Assist departing staff as necessary and assess their overall Extended Assignment experience.

• Work with other international organizations to host social events, learning series and expatriate associations.

• Work closely with the diplomatic protocol Assistant.

• Develop a Welcome Guide and Welcome Package for the Duty Station that staff may reference prior to arrival that contains the information listed above and any relevant information around settling-in.

• Maintain a spouse e-mail distribution list and develop and supervise the spouse network events.

• Network and coordinate the relocation of IFC staff in all offices in CEU with local Relocation Focal Points.

Selection Criteria:
• The ideal candidate will have a Diploma with at least 5 years work experience in relevant position such as relocation assistant/consultant, administration assistance, Human Resources in a multi-national or international organization;

• Proven track record in coordinating client or relocation services and a good understanding of client management.

• Excellent organizational, administrative, and time management skills with proven ability to work promptly and efficiently under pressure and meet deadlines;

• Excellent skills and use of relevant computer software and IFC standard software applications (Word, Excel, PowerPoint, Lotus Notes);

• Excellent team player with outstanding interpersonal skills and the ability to work with people at all levels (inside and outside IFC) with demonstrated team spirit and responsiveness;

• Excellent attention to detail, including proof reading documents for accuracy and entering information accurately;

• Good judgment and tact when handling sensitive and confidential issues;

• Ability to work and think independently, analyze problems and identify appropriate solutions.

• Ability to work effectively in a team-oriented, multi-cultural environment;

• Energetic and proactive.

• Strong written and verbal communication skills in English and Russian.
