Background / General description:
The International Finance Corporation, a member of the World Bank Group, promotes sustainable private sector investment in developing countries as a way to reduce poverty and improve people’s lives. In addition to its investment work, IFC operates a major program of private sector advisory services projects (AS) in Latin America and the Caribbean. The objectives of the program are to promote direct investment in the private sector, build local businesses and financial intermediaries, and help improve the business enabling environment, and hence contribute to poverty reduction in LAC.

IFC in Latin America is now seeking to recruit a Team Assistant (TA) to be based in Buenos Aires, Argentina.

Duties and Accountabilities:
The TA will be responsible for the full range of office support work, including managing processes and monitoring schedules related to their Team’s products and tasks. The TA initially will work under close supervision and guidance. The TA will coordinate extensively with IFC staff and liaise frequently with team members both at Headquarters and in the Country Offices, as well as with external counterparts. The TA may also be assigned responsibility for some aspect of the Peru Office administrative functions. The TA will work regularly and substantially in English and Spanish, including translating/drafting a variety of standard documents, applying effective proofreading and grammar skills in both languages.

Main duties will include but not be restricted to:

Summary of Major Job Accountabilities

• Coordinate and plan travel missions for staff, including hotel, flight, etc.

• Word processing - drafting, editing and finalizing routine correspondence, memos, letters, faxes and various reports and documents.

• Coordinates schedules taking priorities into account, monitors changes and communicates the information to appropriate staff/ parties.

• Receiving and placing phone calls and taking accurate messages.

• Solves non-routine problems (e.g. responds to request requiring files search, etc.) and routing incoming inquiries to the appropriate parties.

• Assists in preparation and logistical planning for various events, e.g. meetings, workshops, visiting missions, etc.

• Maintains up-to-date and chronological work project files (both in paper and electronic).

• Assists team by translating/drafting a variety of routine documents, applying effective proofreading and grammar skills in English and in Spanish.

• Coordinating with the other IFC office and with the World Bank.

• Performs other duties as required by the Country Manager.

Skills, Knowledge and Competencies

1. Applied knowledge of WBG organization, relevant business practice and procedures, including records management and filing procedures.

2. Ability to retrieve reference materials from various sources (e.g. databases or other filing systems, Internet, etc.)

6. Proficient English and Spanish skills (verbal and written).

9. Good judgment in handling confidential and sensitive information.

Word processing - drafting, editing and finalizing routine correspondence, memos, letters, faxes and various reports and documents, ensuring compliance with IFC correspondence format, procedures and proofreads materials using proper grammar, punctuation and style in Spanish and English.

Selection Criteria:
The candidate must comply with the following requirements:

1. Secretarial diploma or Bachelor degree.

2. Minimum 5 years of relevant working experience.

3. Proficient English and Spanish skills (verbal and written).

4. Proficient computer skills: Lotus Notes, Microsoft Office (Excel, Word, Power point), Internet (use of searching engines), etc.

5. Committed team player with good inter-personal skills and ability to work effectively in a multi-cultural environment.
