Administrative Associate, Strategic Planning and Analysis based in Washington DC

FHI 360 serves more than 60 countries, all 50 U.S. states and all U.S. territories.  We seek qualified candidates for the position of Administrative Associate, Strategic Planning and Analysis based in Washington DC.
 
Job Responsibilities:
 
The Administrative Associate provides day-to-day administrative support to the Strategic Planning and Analysis (SPA) department within the Chief Strategy Office.  Essential job functions include:
 
  • Provide day-to-day administrative support to the Director and Associate Director(s) of the Strategic Planning and Analysis (SPA) department.
  • Work with FHI 360 Purchasing department to procure goods and services.
  • Help identify and on-board consultants, temporary employees, and external support.  Work with Contract Management Services to outsource work and provide full support throughout a consultant, temp, or contract lifecycle.
  • Assist in the production of presentation, pitch packets, briefing binders and other materials as needed.
  • Work closely with Fhi360 Travel to provide support for SPA staff travel.  Prepare travel requests, travel reports, expense reports, reimbursements, and vouchers.
  • Organize, attend, and draft minutes for FHI 360 meetings, special events, and external conferences.
  • Set up and maintain organizational systems for administrative efficiency, including but not limited to organized filing systems for team calendars, important documents, and materials using the SPA wiki pages. Ensure that information housed on the SPA Intranet page is current.
  • Pull financial reports and assist with preparation of department budget template and planning.
  • Use initiative to assure the smooth and timely flow of work, while following FHI 360 systems and processes.
  • Other general administrative tasks:  copying, filing, formatting, collecting signatures, etc.
  • Perform other duties as assigned.
 
Minimum Requirements: 
 
  • Minimum Bachelor’s Degree and 1 – 2 years of professional work experience.
  • Excellent written and verbal communication skills, with ability to interact positively with all levels of staff, including executive/corporate level management.
  • Ability to manage fluid and complex logistical details.
  • Skilled at working on multiple projects and/or teams simultaneously.
  • Ability to perform with minimal supervision.
  • Ability to work with discretion, judgment, tact, and poise.
  • Advanced computer skills in Microsoft Office (Word, Outlook, Excel, and PowerPoint).
