Jakarta, Indonesia – AusAID funded Poverty Reduction Support Facility (PRSF)
PRSF is a joint facility between AusAID and the Government of Indonesia to improve the quality of policy advice for poverty programs in Indonesia.
The role of the Finance & Administration Officer will be to:
- Managing all administrative tasks for the project including managing scheduling system for project staff, maintaining database of key project contacts and records of all meetings/communications.
- Coordinating with government agencies to organize meetings.
- Managing all planned activities required, including workshops/trainings/events
- Drafting invitations / documents / other written materials
- Act as a focal point for arranging workshops, training and/or meetings related to Data Unification program including : Prepare the Workshop Request Form, Prepare the workshop’s materials, Arrange the venue for the events, Follow up the logistic requirements, Request the cash advance, Settled the payments for the participants/attendances and Provide Activity Expense Report all the payments/cost of the workshop
- Responsible for all travel and accommodation arrangement and other logistical and organizational needs for Data Unification Pokja unit including employees and consultants
- Maintain filing system , both soft and hard copy
- When it is necessary, taking Minutes of Meeting (MoM) , including the circulation amongst the meeting members , keeping MoM result in order administrative order
- Assist in obtaining of competitive quotations and procurement in coordination with the GRM Finance Manager
- Coordinate with Office Manager Secretariat unit regarding site visits, outgoing letters /invitation and meeting room booking arrangement
To succeed in this role, you will have demonstrated:
- Appropriate tertiary qualification in business, management and/or administration
- 5-10 years project management experience, with a proven performance record in managing efficient scheduling systems, coordinating events involving government/NGOs, managing project expense records, etc;
- Computer literate
- Fluent in Bahasa Indonesia and strong English skills required. Excellent communication and writing skills.
Able to prioritize and manage time efficiently. Can handle multiple tasks and meet deadlines
