Hume Brophy, a management-owned public affairs and communications consultancy with offices in Brussels, Dublin, London, Paris and Singapore seeks a full-time Office Manager to support our fast-growing EU public affairs team in our Brussels Office.
Position
We are looking for an Office Manager to carry out a wide range of administrative tasks as well as personnel administration in the Brussels' office. The successful candidate will provide:
- Administrative assistance in daily office operations, including - telephone and email enquiries;
- Creating and maintaining filing systems;
- Keeping diaries and taking appointments for staff;
- Maintaining records and supplier relationships pertaining to the office (catering and stationery);
- Assisting with travel arrangements, translations and other assigned office tasks;
- Responsible for the personnel administration liaising with the payroll provider and finance manager (keep record of annual leave and sickness, preparing payroll and luncheon vouchers);
- Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.
Profile and Skill Set Required
You will have excellent knowledge of English and as well as very good working knowledge of French and/or Dutch. You should have an experience of administrative work preferably in an international and multi-task environment. Familiarity with personnel administration (in Belgium) is favourable. The excellent knowledge of and experience in working with Microsoft Office package (Word, Excel, PowerPoint) is required. You should have ability to work under the time pressure and to have excellent organisational and problem-solving skills.
